Our multilingual team provides flight support and flight management services, exceeding client expectations and promoting excellence. We work with commercial airlines, private jets, cargo, and medical charters, operating within a continually expanding global network.

We are looking for a highly organized and proactive Junior Billing Assistant to join our team. The ideal candidate will be responsible for ensuring smooth office operations, supporting all departments, and creating a professional work environment. This role requires fluency in English communication skills.

 

Key Responsibilities:

1. Invoice & Billing Support
o Assist in preparing and revising invoices as per client instructions.
o Forward vendor invoices to the Invoice Coordinating Division for processing.
o Maintain and update vendor and client databases in SAP.
o Organize invoices and supporting documents in Outlook and SAP.
2. Vendor & Client Coordination for Queries
o Follow up on pending vendor invoices requiring clarification, either directly or through the Invoice Coordinating Division.
o Assist in reviewing vendor statements and flagging missing invoices.
o Support in monitoring client due dates and initiating follow-ups on overdue payments.
3. Payment & Reconciliation Assistance
o Help verify prepayments to vendors and ensure invoice amounts match recorded payments.
o Assist in requesting refunds for overpayments or mismatched invoices.
o Track payments and assist in periodic reconciliations.
4. Administrative & Operational Support
o Provide assistance in organizing financial records.
o Support in identifying operational inefficiencies and suggesting process improvements.
o Coordinate with the invoicing and operations teams to streamline billing workflows.

Job requirements

Skills & Qualifications:

  • 2+ years of experience in billing, aviation, administration, data entry and MS Office.

  • Fluent in English.

  • High level of attention to detail, flexibility, and adaptability.

  • Strong organizational and multitasking skills.

  • Excellent written and verbal communication skills.

  • Ability to handle various situations professionally and efficiently.
